Delete your account and your data

This page explains how to request deletion of your EZ File Manager account, exactly what we erase, what (if anything) we keep, and how long it takes. It applies to the EZ File Manager Android app, the desktop agent, and the web app at ezfilemanager.aicanadiansolutions.ca — they all share one account.

How to request deletion

There is currently no self-serve delete button inside the app. Deletion is handled by request, and every request is honoured — no questions, no retention offers.

  1. Email ezfilemanager@aicanadiansolutions.ca from the email address you used to sign up, with the subject Account deletion request.
  2. Tell us whether you want the whole account deleted, or only specific data deleted (for example: only your Secure Vault contents, or only your scanned file index, while keeping the account).
  3. We verify that the request comes from the account owner (we reply to the address on file), then delete. Deletion is completed within 30 days of a verified request, and in practice usually within a few business days.
  4. We email you a confirmation once the deletion is done.

You can already remove some things yourself, at any time

Signed in to the app or the web app you can disconnect a connected cloud account (Dropbox / OneDrive) or a paired device from Connections and Devices — that immediately deletes the connection record and the stored access tokens for it. You can also delete individual Vault items and file-index entries. A full account deletion (below) removes everything regardless.

What we delete

When your account is deleted, all of the following are permanently removed from our production database and object storage:

  • Your account — name, email address, password hash, email verification state, plan/subscription fields and preferences.
  • Your file index — every record of every file we indexed for you: file paths, file names, sizes, created/modified timestamps, media type, image/video dimensions and duration, EXIF timestamps, and the content hashes (BLAKE3 / xxh3 fingerprints) used for duplicate detection.
  • Duplicate results — all duplicate sets, matches and recommendations derived from your index.
  • Storage sources & connection configs — the drives, folders, phones and cloud accounts you registered, including their labels, root paths and capacity stats.
  • Cloud OAuth tokens — the encrypted access tokens and refresh tokens we hold for any cloud provider you connected (e.g. Dropbox, OneDrive), plus the linked account name/email/ID.
  • Device registrations — every paired device and desktop/native agent, their names, platforms, agent versions, last-seen timestamps, and any unused pairing codes.
  • Authentication credentials — API/agent access tokens (personal access tokens), browser sessions, "remember me" tokens and any pending password-reset tokens.
  • Secure Vault — your vault password hash and salts, all vault folders and items, and the encrypted file blobs themselves in our object storage (including anything you imported into the Vault from a connected cloud account).
  • Device inbox files — any files you sent from a phone to your account ("send to vault" / device inbox), including the stored file contents.
  • Tags, notes and the audit ledger — your tags, per-file notes, and the append-only activity/audit events tied to your account.

What we do not store, and therefore cannot delete

We do not store the contents of the files we scan

Scanning and deduplication run on your own machine or phone, in the app and the native agent. What is sent to our servers is metadata only — file path, name, size, timestamps and a content fingerprint (hash). The bytes of your photos, videos, project files and documents on your drives and in your cloud accounts are never uploaded to us as part of indexing or duplicate detection, and hashes cannot be reversed back into file contents.

The only file contents we ever hold are the ones you deliberately put there yourself: items you upload to the Secure Vault, files you import into the Vault from a connected cloud account, and files you push from a phone into your device inbox. Those are stored in our object storage, and they are deleted with your account.

Deleting your EZ File Manager account never deletes, moves or modifies any file on your own drives, phones or cloud accounts. Your originals stay exactly where they are.

Connected cloud accounts — one thing you must do yourself

Deleting your account destroys the access and refresh tokens we hold for Dropbox, OneDrive or any other provider you connected, so we immediately lose the ability to reach your cloud files. However, our servers do not currently call the provider's token-revocation endpoint on your behalf, so the "EZ File Manager" app authorization may still be listed in your provider account until you remove it.

To be thorough, also revoke access there: Dropbox → Connected apps · Microsoft / OneDrive → App permissions.

What is retained, and why

Data Retention Why
Payment and invoice records Held by our payment processor (Stripe) for as long as tax and accounting law requires (typically 7 years). Legal and tax obligation. We never store your card number — card data is handled entirely by Stripe.
Encrypted database backups Rolling backups age out within 30 days of the deletion. Disaster recovery. Deleted data is not restored to production and is overwritten as backups rotate.
Server / security logs Up to 90 days, then rotated away. Abuse prevention, security and debugging. These may briefly contain an IP address, not your file index.
Anonymous, aggregated statistics Indefinitely. Counts that cannot be linked back to you or any person (e.g. "total duplicate bytes reclaimed").

Timeline

  • Immediately on request — we confirm receipt and verify the requester.
  • Within 30 days — the account and all data listed above are permanently deleted from production; we email confirmation.
  • Within a further 30 days — the last encrypted backups containing that data rotate out.

Deletion is irreversible. Once done, the account cannot be recovered and you would need to sign up again from scratch.
